Terms & Conditions:

Our full-day or half-day study sessions include:

- Meeting room rental
- One coffee break (for half-day study sessions) or two coffee breaks (for full-day study sessions)
- Lunch
- WIFI connection for standard use
- Digital flipchart
- Table supplies: Mineral water, pens, and notepads

Please note we don’t allow any food or drinks to be brought in from outside. Please contact our sales department (+33 4 92 96 68 78 or sales@mouratoglou-resort.com) should you have special requests.

Optional: Use of our sound system and ambient lighting. Availability of a stage, dance floor, or lectern.

The lounges are equipped with a WIFI connection for standard use. A symmetrical 100 Mbps bandwidth is shared among all guests in the hotel.

Optional: The possibility of setting up a private network strictly reserved for the Client's use (video conferencing, live events, etc.). Available upon request from our IT manager.

Technical & audiovisual equipment:

- Screens: All our rooms are equipped with screens.
- The hotel has projectors for breakout rooms or small plenary sessions of less than 100 people. For any additional requests (sound system, microphones, etc.), please contact our sales team.

Setup and breakdown of the lounges:

Any change in setup during the day will incur an additional fee per module according to the current rate.

Outdoor events & backup in case of bad weather:

For any events organized in outdoor spaces, the number of guests cannot exceed the maximum capacity of the lounge reserved for backup in case of bad weather. In case of backup, what is contractually planned outside may not be achievable indoors (e.g., live cooking with a barbecue, candles, and open flames).

Any space reserved for weather backup will be charged. If the Client chooses not to contract for backup in case of bad weather, the hotel cannot be held responsible if the spaces are no longer available at the time of the event.

In case of bad weather, the decision to move indoors must be made no later than 5:00 PM the day before for a lunch event and no later than 10:00 AM on the day of the event for a dinner/cocktail event.

The Client must be reachable the day before the event before 5:00 PM (for a lunch event) or the morning of the event before 10:00 AM (for a dinner/cocktail event) so that a decision can be made in collaboration with the Hotel Management. If we are unable to reach the Client within the agreed time frame, the decision will be made by the Hotel Management. The decision will be irrevocable.

In case of moving the event indoors due to bad weather, the rental/operating fees for the initially reserved outdoor space will still be charged to the Client.

If the event concerns the Les Vestiges, Terrasse Chelems, or Pelouse M Beach spaces, additional lighting must be arranged - upon request from a provider, at the Client's expense.

Menu selection:

The Client must specify in writing (fax or email) to the Mouratoglou Hotel & Resort the exact number of meals required for each meal 14 business days before the start date of the event.

The Client must confirm their choice of catering no later than 20 business days before midnight on the first day of the event. Beyond this period, the hotel reserves the right to impose a choice within the category selected by the Client. It is specified here that unused catering within a package cannot result in a price reduction.

A single menu choice is required for the entire group, meaning: choice of 1 starter, 1 main course, and 1 dessert for the whole group (excluding allergens and dietary restrictions due to a diet or religion). Any modification will incur an additional fee.

Also, any change of choice on-site will result in an additional charge corresponding to the contracted dish price.

No external food is allowed to be brought into the establishment.

Overtime:

Any overtime starting beyond 3:00 PM for lunches and midnight for evening events will be charged at €84 (including VAT) per server per hour. Based on 1 server for 30 guests. One hour of overtime is automatically counted after the event's end time (e.g., end of the event at 1:00 AM, staff counted until 2:00 AM).

Security agents and lifeguards:

The presence of at least one security agent (number to be determined according to group size) will be necessary for events with more than 50 people.

Security agent cost: Minimum 6-hour package: €180 (including VAT) per agent.

For any event by our pools, the presence of at least one lifeguard (number to be determined according to group size) is also mandatory. Lifeguard cost: €30 (including VAT) per lifeguard per hour. One hour of overtime is automatically counted after the event's end time.

Noise disturbances:

The hotel limits musical entertainment in all its lounges to preserve the tranquility of the guests. The Client shall ensure that in case of musical entertainment, the volume is limited to the reserved space and that beyond midnight, the sound is lowered.

Beyond this time, a written request must be made to the hotel, which must imperatively give its approval.

If the Client has a direct contract with a provider for entertainment, the event end times contracted with the hotel must be communicated and respected by the external provider. It is the Client's responsibility to inform the provider of these times.

In case of non-compliance with the times by the provider, the hotel reserves the right to end the event as contracted between the Client and the Hotel.

Evenings:

Regarding the timing for evening events, the hotel's staff provides on-site service under the conditions described in the contract and quote.

Any request for a change in the end time of the evening must be made in writing to the hotel no later than 72 hours before the start of the event. Beyond this deadline, the end times described in the quote constitute the time at which participants must vacate the premises. No extensions are possible on the evening itself.

In case:

- of disruptions during the evening causing damages and complaints
- of guest complaints (outside the group) received after the contracted end time of the evening
any costs related to damages or compensations made to guests who were disturbed will be directly billed to the final invoice.

During evening events, swimming is prohibited without prior written approval from the Hotel.

Delivery and storage:

Deliveries must be made via the delivery dock between 7:00 AM and 11:00 AM from Monday to Friday.

As the hotel has limited storage capacity, any material not provided for in the specific conditions or their amendments cannot be delivered before the group's arrival date.

All packages and materials delivered must be identified with the group's name and stay dates delivered to the name of the Mouratoglou Hotel & Resort – attention to the procurement manager + the name of the coordinator in charge of the file + event name.

All personalized delivery requirements are the sole responsibility of the Client. Additional fees may be charged to the Client if applicable. For large events, waste disposal will be the Client's responsibility, and therefore, the Client may need to contract the use of mini-skips and bins.

In no case can the hotel be held responsible for the non-delivery of a package.

No storage is allowed in the hotel's premises after the event. If such storage occurs, the hotel declines all responsibility for any potential damages or other losses of unauthorized stocks and deposits.
